Separate two different jobs
Support coordination and plan management are different workflows. A coordination team needs to connect the work completed, its time record, relevant notes, funding and invoicing. A plan-management team also needs to assess incoming invoices, manage payment processes and reconcile transactions. A product mentioning both services does not tell you which module your quote includes.
Write down the services you actually provide and the information boundaries between them. If your organisation also delivers other supports, ask how staff access, service records and financial reporting are separated or shared. Do not assume one database automatically creates an appropriate operating model.

Run a coordination scenario
Create a fictional participant with a budget allocation and a fictional coordination activity. Record the time, write the note, check the remaining allocation and create the invoice or claim record. Then correct the time entry and show what changes in each downstream record.
Ask a second user to reconcile the result without relying on the first user’s memory. Include an exception: a rejected claim or an incorrect invoice. Record the steps, permission level, supporting evidence and whether another application is required. A successful routine transaction is only half the demonstration.
Add a plan-management scenario if needed
Use a fictional supplier invoice and show the checks your service requires, approval boundaries, duplicate handling, payment status and reconciliation. Ask how the system identifies an exception, who can resolve it and what history remains. These are proposed demo tasks, not claims that either platform supplies every control.
Use fabricated records throughout the demonstration. Do not upload actual participant information to a vendor trial simply to make it feel realistic.
Ask for a comparable quote
Specify your active participant count, staff access, service modules, accounting system and migration needs. Ask both vendors how archived participants, additional service lines and annual renewal affect cost. Record transaction, integration, training and exit charges where applicable.
